UAN is a unique 12-digit number assigned to every EPF member that remains the same throughout their career, linking all PF accounts across employers.
The Universal Account Number (UAN) is a permanent 12-digit identification number assigned to every member of the Employees’ Provident Fund (EPF) in India. Introduced by the EPFO (Employees’ Provident Fund Organisation) in 2014, the UAN acts as an umbrella number that links all the different PF Member IDs an employee accumulates across different employers throughout their career. Unlike a Member ID, which changes with each employer, the UAN remains the same for life — making it the single point of access for an employee’s entire PF history, balance, and withdrawal requests.
Before UAN, every job change meant a new PF Member ID, with transfers requiring physical forms and months of processing. UAN creates one persistent identity linked to Aadhaar, PAN, bank account, and all Member IDs across employers.
Lifecycle: When an employee joins their first PF-registered job, the employer registers them on the EPFO portal and a UAN is assigned automatically. When changing jobs, the employee shares their existing UAN with the new employer, who creates a new Member ID under the same UAN. The employee can then transfer their old PF balance online.
If the employee does not share their UAN with the new employer, a duplicate UAN may be created. EPFO provides a process to merge duplicate UANs, but it requires manual intervention and can take weeks.
The EPFO member portal (unifiedportal-mem.epfindia.gov.in) provides self-service features through UAN:
| Service | Description |
|---|---|
| Passbook View | Check PF balance and monthly contribution history across all Member IDs |
| PF Transfer (Form 13) | Transfer PF balance from previous employer online (no employer signature needed if Aadhaar-linked) |
| PF Withdrawal (Form 19) | Full withdrawal after 2 months of unemployment |
| PF Advance (Form 31) | Partial withdrawal for medical, housing, education, marriage, or COVID-related needs |
| Pension Withdrawal (Form 10C) | Withdraw pension contribution if under 10 years of service |
| E-Nomination | Register family members as PF nominees online |
| Download UAN Card | PDF card with UAN, name, date of birth, and Aadhaar details |
| KYC Update | Update Aadhaar, PAN, and bank account details |
Aadhaar-UAN linkage has been mandatory since 2021 — without it, employers cannot file monthly PF contributions. The UAN-based system eliminated the need for physical Form 11 and Form 13 in most cases.
UAN creates specific obligations and considerations for foreign companies hiring in India through an EOR:
Omnivoo collects existing UAN details during employee onboarding and links the new Member ID to the employee’s existing UAN on the EPFO portal. For first-time employees without a UAN, Omnivoo generates one and assists with Aadhaar-UAN linkage and portal activation. When an employee exits, Omnivoo updates the exit date on the EPFO portal promptly, enabling smooth PF transfers or withdrawals. The employee retains their UAN and full access to their PF history regardless of how long they were employed through Omnivoo.
